Policies

safety

As much as we keep our studio and outdoor location as safe as possible we ask  to please be mindful that for the safety of your children and the protection of our studio equipment, it is essential to keep a close watch on your little ones during the session. Due to the presence of props, lights, wires, furniture and other photography equipment, we kindly ask that you ensure your children remain nearby at all times. In the event of any accidental damage to our equipment or props, the responsibility will fall on the client. Same applies when doing session outdoors.   

number of people allowed

For each session, we typically accommodate up to 5 family members from the same nuclear family (e.g., mom, dad, and their children). The session generally does not include extended family. However, you can add more family members for $30 each. I strongly recommend booking an additional slot for extended family members at the same time you book your session, as I won't be able to swap appointments later.   

cancellations

❌ Cancellation Policy

If you need to cancel your session, Nancy Ramos Photography must be notified at least 14 days in advance. Please note that retainers are non-refundable under any circumstance.


  • Cancellations made less than 72 hours before your session will require full payment of the session fee.
     
  • No-shows or cancellations due to personal or medical emergencies will still be held responsible for the full session cost, and an invoice will be issued accordingly.
     

Thank you for understanding and respecting the time and preparation that goes into each session.

date change policy

 If you need to change your session date for any reason,  let us know at least 14 days before your scheduled appointment via text or e-mail and if we do not reply within 24 hours from your e-mail most likely we did not received it and try again.  If you fail to notify us you will forfeit your retainer and will need to do a new retainer for the new date.

⏰ Late Arrival Policy

Please plan to arrive 5–10 minutes early to allow time for parking and getting settled.


If the CLIENT arrives late, the session will still end at the originally scheduled time, and full payment will still be required.


This ensures that all sessions run smoothly and on time for every family. No exceptions.

TEXT US WHEN YOU ARRIVE

Please text the photographer when you arrive at the photography location. While we are photographing other families ahead of you, kindly remain out of sight, as children can become easily distracted when they see others arrive. This helps ensure that each family gets the full, uninterrupted experience during their session.


Be prepared to approach the set as soon as it is your turn. If your session is at the Tree Farm, please note that the photographer will not be able to come get you—you’ll need to walk over to where we are shooting.

BAD WEATHER/RAIN – FOR OUTDOOR SESSIONS ONLY

If it rains on the day of your scheduled outdoor session, I will do my best to accommodate you during morning openings on upcoming session dates or weekday sessions. However, I cannot guarantee the same theme will be available.


If you are unavailable for any of the remaining session dates, I can offer you a credit of equal value toward a future session, valid through March 2025.


Please note: This policy does not apply to Tree Farm sessions. Due to limited availability, we are unable to reschedule or add appointments at the Tree Farm in the event of rain.

we POST PHOTOS FROM YOUR SESSIONS ON SOCIAL MEDIA

Posting and displaying my images are what drive my business.  I understand you may want to use these photos for your Holiday greeting cards, so I allow a certain amount of time before posting photos online. If you need more time, please let me know in advance so I post them after you send your cards. I will however post behind the scenes same day or same week.

SOCIAL MEDIA POLICY

You are free to share any of your photos on social media platforms. However, altering photos with filters or creative cropping is prohibited and violates the contract you signed during your reservation process. Such altered photos must be removed immediately.


When sharing photos on social media, tag the photographer’s social media handle, 

@photoswithsanta, which is the same on both TikTok and Instagram.


Posting images on social media without properly tagging the photographer’s social media handle is a breach of this agreement. Each image must also include a visible credit, such as “Photos by  Photos with Santa,” either on the photo itself or in the information tab/space below the photo.

pets

Sign up for the last appointment if still available.   When you sign up there is a comment box, let us know on the comment  that you are bringing pets and what type of pets are you bringing.   For Tree Farm you need to have your pet's leash on it.  Tree Farm will not allow exotic animals to enter nor pet's without leash.   Santa cannot hold your pet due that some children may be allergic to pet fur.  You are welcome to bring a small basket so Santa can hold the basket.  Unless you are the last appointment of the day then he might be able to hold your pet.

UNCOOPERATIVE CHILD

We do everything in our reach to make your child/children smile and have the best experience we can offer.  However, the photographer does not guarantee the performance of children during the session. If our child does not cooperate we are unable to offer re-shoots with Santa. However, if your child was crying for the entire session or did not cooperate at all, we will schedule a re-take session on an assigned mini session event (note: not a private session) during weekdays at our studio in Santa Ana.  Please note that Santa will not be present for these re-take sessions. No credit will be given if your family cannot make this re-take session.

BRINGING GUESTS

 We kindly request that only those being photographed are present at the studio or outdoor location. In the case of minors, a parent or LEGAL guardian must always be present.


If client absolutely needs additional support or company, please ensure they do not bring a camera to take photos during the session.  Client is responsible to inform their guest about our policies before arrival to the site.


Guest cannot direct or distract the photographer in anyway. 


We appreciate your understanding and cooperation. To maintain a smooth session, please ensure that guests remain unobtrusive. If needed we may ask guest to step away or leave the studio.

ONE OUTFIT PER SESSION

If you plan to wear multiple outfits, please reserve a 2nd slot.   Only 1 outfit per session. Don't forget to inform me at the beginning of your session that you have reserved 2 slots for the reason of changing outfits.

CLIENT APPEARANCE RESPONSIBILITY

It is the client’s responsibility to ensure their appearance is in order before arriving at the session. While we will do our best to address visible distractions on clothing, we cannot be held responsible for clothing that does not fit properly, such as oversized or tied clothing, incorrect lengths, stains, wrinkled clothing, rips, or any other issues that may result in an undesirable outcome due to unforeseen clothing malfunctions and misfits. This includes coming with the desired makeup and hair.


If the client wishes to schedule an additional session due to appearance issues outside the photographer’s control, the client will be charged for an additional session at the photographer’s hourly rate. 

EXCLUSIVITY /NO PHOTOGRAPHY POLICY

We request that no other photographers or individuals take pictures during the session while our photographer is working, unless previously agreed upon in writing by both parties. This includes cell phone cameras, computer cameras, and any similar devices such as manual cameras, electronic cameras and digital devices.


Behind-the-scenes video ONLY is permitted.  When sharing these  behind-the-sceens videos on social media, please tag and mention us in the description as follows: Photography by @photoswithsanta.

ARTISTIC STYLE

The Photographer’s work is continuously evolving. The Photographer has her own artistic judgment to produce images that align with her vision. The resulting photos may differ from previous works by the Photographer.
